AI+ Archivists & Records Managers

Appraise, Catalogue and Preserve Smarter with AI

Every record has a history. You're the one who has to prove it.

You're sitting on a backlog that took decades to build and a disposal decision that can never be undone. This book gives you the CHAIN Protocol and WEIGH Framework — a governance check and an appraisal method built for AI, not around it — plus 10 ready-to-use prompts for finding aids, retention memos, and born-digital triage. Built by an AI engineering firm for the professionals who prove what happened — and need every AI shortcut to hold up in an audit, a courtroom, or a hundred years.

Who this is for

Any professional responsible for appraising, arranging, describing, preserving, and providing access to institutional records or archival materials. This includes: corporate records managers and information governance officers (banks, insurers, law firms, multinationals); institutional archivists (universities, hospitals, NGOs); government and national archives staff; digital preservation archivists and digital archivists managing born-digital collections; special collections and manuscripts archivists; compliance-driven recordkeeping staff in regulated industries (finance, healthcare, energy, government). Typically holds an MLIS/MA in Archival Studies, a Certified Records Manager (CRM) credential, or equivalent professional experience; 2–25+ years in the profession. The common thread: they are accountable for the trustworthiness of the record — its authenticity, its custody trail, and its availability for as long as it is needed, whether that is seven years or forever.

Also for:Records and information management (RIM) staff without formal archival training who inherited compliance recordkeeping duties; library staff whose roles include archival or special collections responsibilities; museum registrars managing object and paper records jointly (see T2-163); compliance and legal-hold coordinators who work alongside records managers; LIS and archival studies students preparing for the profession.

You’ll be able to
  • Apply the CHAIN Protocol as a pre-use governance check before any AI interaction touching a record, collection, or born-digital transfer
  • Apply the WEIGH Framework to make and document AI-assisted archival appraisal and retention decisions without ever delegating the final disposal or accession decision to AI
  • Use AI to accelerate arrangement, description, and finding-aid drafting while independently verifying every AI-generated authenticity, provenance, or date claim before publication
  • Evaluate AI-assisted digital preservation tools (born-digital forensic triage, fixity checking, handwritten text recognition) and apply them appropriately to institutional and historical collections
  • Design a personal 30-day AI adoption plan spanning appraisal, description, digital preservation, and records retention/disposal workflows, with measurable time recovered for higher-value archival work
